About the Role

We are seeking a passionate, highly organised and proactive Administration & Events Team Leader to support and help lead our Admin & Events team. This is a seasonal leadership role, starting late April/early May suited to someone who thrives in a fast-paced alpine environment, has experience managing an office or team, loves events, and is committed to creating exceptional guest and crew experiences.

Reporting to the Admin & Events Head of Department, you will assist in managing and developing a team of varying roles including; (Admin & Events Assistants, Mountain Hosts and Custodians), while contributing to smooth wider mountain operations.

You will be operationally aware, people oriented, have a positive and collaborative attitude, be solutions-focused and ready to respond — anticipating needs before they arise with the ability to see the bigger picture is a must.

Key Responsibilities:

Team Leadership & Operations

• Support the HOD in managing, motivating and developing the Admin & Events team

• Lead daily team meetings and foster a positive work environment and culture

• Deliver and develop departmental training

• Maintain strong operational awareness via radio communications (lifts, patrol, maintenance, weather conditions and road updates)

• Ensure timely snow reports, chain calls and mountain condition updates across NZSki platforms and internal communications

• Provide calm, clear leadership during on-mountain emergency situations and scenarios

• Support wider mountain wellbeing initiatives including staff incentives and recognition programmes

• Leading from the front and lending a hand as required. Stepping in operationally where needed (queue control management, snow shovelling, F&B table clearing, support our Custodians in recycling and rubbish sorting, bathroom cleaning etc)

Administration

• Oversee daily tasks and workflows across all members of the team, manage shared admin inbox and Trello boards are up to date

• Manage the admin desk (mountain reception) maintaining excellent customer service for guests and staff

• Maintain daily records, reports and internal communications

• Process invoices and purchase orders via Continia


• Manage the production of weekly staff newsletters using Canva

• Provide general admin/operational support for all departments, liaise key messages between all staff, HODs, Management and Coronet Peak Admin

• Make clear PA announcements regarding weather, lift holds and operational updates

Events

• Support planning and execution of external on-mountain events

• Liaise with external stakeholders in a professional manner

• Prepare and distribute run sheets, communicating effectively with all internal teams

• Lead event set-up and pack-down

• Organise and promote internal staff events and inter-mountain sports (including evenings as required)

Uniform & Sustainability Management

• Coordinate RFID tagging, distribution, returns and end-of-season stocktake of 300+ staff uniforms

• Support sustainability/kaitiakitanga initiatives, including waste sorting and off-site disposal coordination

Health & Safety

• Prioritise Health & Safety compliance at all times

• Lead team H&S training, maintain accurate H&S records and competency registers

• Manage site and contractor inductions

• Ensure contractors sign in/out daily


About You:

• Minimum 1-2 year proven leadership experience


• Minimum 1 year event management or coordination experience

• Strong administrative background with excellent computer skills, highly proficient in Microsoft and Google systems

• Experience communicating via 2 way radios

• Adaptable to following procedures while absorbing and retaining large amounts of information

• Experience in training and engaging a team with confidence while public speaking

• Highly organised with proven ability to prioritise tasks and problem solve on your feet

• Outstanding ability to provide clear guidance to team members through strong communication skills for effective team collaboration

• Ability to build rapport quickly with guests, staff and stakeholders

• Experience giving constructive feedback and be able to take accountability for team and actions

• Calm under pressure with strong conflict resolution skills

• Able to work independently and use initiative (including covering HOD days off)

• Ability to create and foster a positive daily work environment for team and colleagues

• A sense of humour/ability to have a laugh while retaining professionalism

• Previous alpine environment experience advantageous

• Understanding that work hours are weather dependent
