Job Description
This role is based in either London or Colchester Office
Informa is committed to achieving market-leading colleague experience through our One Informa programme. Informa Link is a key enabler of One Informa and is our project to implement Workday across the Group (all 41 countries and 14,000+ colleagues).
This role requires HR process expertise to drive the optimization and efficiency of HR processes and workflows in Workday, while ensuring alignment with business goals. This role will lead process design improvements, enhance operational effectiveness, and support compliance with HR policies and regulations. Working to refine HR processes, elevate operational excellence and improve the overall colleague experience.
Working closely with our Strategic Design Lead and Programme Delivery Lead to ensure successful execution of this transformational initiative.
Key Responsibilities
Vision & Strategy
Working with the programme leadership team and across the organization to:
- Strategic Alignment: Support the vision for each element of the Workday implementation, ensuring alignment with Informa's business objectives and growth strategy
- Collaborative Design: Work collaboratively with an inclusive approach to design, ensuring buy-in across the organization
- Process Transformation: Support the project team, HR, and the organization to re-imagine HR processes and their impact on colleague experience
- Change Enablement: Support change management and the translation of design into operational reality
- Stakeholder Partnership: Develop strong partnerships with key stakeholders and the wider HR team (HR, Recruiters, Payroll) to ensure processes meet business demands
HR Process Design & Improvement
- Current State Analysis: Review existing HR workflows and procedures, identifying opportunities for improvement and innovative solutions to ensure effective and efficient processes
- Global Process Design: Support the design and improvement of global business processes to streamline execution, enhance colleague experience, and ensure seamless HR task management
- Workflow Optimization: Design and refine new HR workflows to drive efficiency by identifying and implementing innovative solutions, standardizing procedures, and optimizing HR technology integration
- Employee Lifecycle Management: Ensure alignment with complete employee lifecycle needs, including recruitment, onboarding, performance management, career development, offboarding, absence management, and talent processes
- System Integration: Collaborate with design lead/technical teams to ensure process design translates effectively into Workday configuration
Compliance & Risk Management
- Regulatory Compliance: Ensure all HR practices, policies, and data (manual/electronic) meet legal requirements across all countries and internal standards
- Risk Assessment: Identify and mitigate process-related risks during implementation and ongoing operations
- Data Governance: Support data integrity and security measures throughout process design and implementation
Training & Documentation
- Learning Materials Development: Develop user-friendly training materials, process maps, operating manuals, and standard operating procedures (SOPs) to create consistency and ensure HR teams are equipped with best practices for optimal Workday utilization
- Change Management Integration: Link technical design with process changes and develop change management plans working alongside the Change and Learning Lead
- Implementation Support: Develop and implement plans for new processes, managing resistance and ensuring smooth adoption across diverse global teams
Continuous Improvement
- Performance Monitoring: Establish metrics and KPIs to measure process effectiveness and user satisfaction
- Feedback Integration: Create mechanisms for ongoing feedback collection and process refinement
- Best Practice Sharing: Facilitate knowledge sharing across regions and business units
Qualifications
Essential Experience
- HRIS Expertise: Minimum 5+ years of experience with HRIS/HR management systems, preferably including Workday implementation or administration
- Process Design: Proven track record in HR process design, improvement, and optimization across multiple HR functions
- Global Implementation: Experience supporting large-scale, multi-country HR system implementations
- Change Management: Demonstrated experience in change management and process adoption initiatives
Technical Skills
- Process Mapping: Expertise in process mapping tools and methodologies
- Documentation: Strong technical writing and documentation skills
- Data Analysis: Ability to analyze process performance data and identify improvement opportunities
HR Knowledge
- Employee Lifecycle: Deep understanding of HR processes, employee lifecycle management, and organizational structures
- Policy & Compliance: Comprehensive knowledge of HR policies, procedures, and best practices across multiple jurisdictions
- Regulatory Awareness: Understanding of international employment law and compliance requirements
