Circular Operations Coordinator
FairphoneFairphone, a global leader in sustainable, modular electronics, is looking for a Circular Operations Coordinator to help run its circular and logistics operations from its Amsterdam, NL base. This full-time, onsite role sits in the Circular Operations team and collaborates with colleagues across Quality Operations, Finance, Product and Sales. It’s a fit for someone who likes bringing order to many moving parts, communicates clearly with partners, and enjoys using data to spot patterns and improve how things work, all while sharing Fairphone’s mission to change the electronics industry for good.
If you’re a proactive, self-motivated team player who thrives in a fast-moving environment and values collaboration, this could be a strong match. You’ll be part of a diverse, international crew that believes in learning and growth and in making products last longer by keeping them in use through careful logistics and responsible take-back programs.
Key details to know: this Amsterdam-based position involves a 40-hour work week. The start date is 15.01.2027 or earlier, and the contract begins as a 12-month term with the possibility of extension to permanent. Applications are reviewed on a rolling basis, so applying sooner is advised.
Circulation in motion: daily operations
In this role, you’ll be the conduit keeping flows between 3PL warehouse partners and repair centers, making sure devices, spare parts and returns move smoothly through outbound and inbound processes. You’ll manage records for shipments, receipts and stock movements, and flag any discrepancies or delays to the warehouse and internal stakeholders, while coordinating with 3PL partners on day-to-day issues and escalations. You’ll also handle reverse logistics for orders, stock transfers and returns in collaboration with our repair centers, ensuring smooth cycles from start to finish.
Spare parts and trade compliance take center stage as well. You’ll maintain price lists, BOMs and SKUs by product and partner, and communicate updates and discontinued parts to affected partners. Trade compliance matters, like shipping rules and cross-border spare parts and return filings, will be part of your remit, keeping operations aligned with regulatory expectations.
Your remit extends to the RMA portal and self-service support. You’ll run the end-to-end operations of the portal for consumers and sales partners, monitor support channels for technical issues related to returns and collaborate with the Quality Operations team on troubleshooting. You’ll keep the self-troubleshooting tool current with the latest fixes and information, and you’ll categorize and prioritize customer issues with stakeholders, analysing data to identify recurring problems and opportunities for improvement. Additionally, you’ll support EPR compliance by keeping producer registrations up to date in every country where Fairphone sells, and by collecting and validating placed-on-market data, preparing and submitting periodic EPR reports on time, and tracking related fees and invoices with Finance. You’ll stay ahead of regulatory changes and flag their impact on operations, product data and partners, while supporting take-back and recycling obligations through the appropriate channels.
Overall, the aim is to keep logistics flowing, spare parts data accurate, and the RMA experience smooth for customers and partners. You’ll help ensure that every return is handled well and every spare part is delivered on time, contributing to longer product use and a more circular business model.
What you need to bring, and what helps
For the core requirements, you should have at least three years of experience in operations, quality or customer-facing roles (including internships). A bachelor’s degree (or comparable education) in Operations, Logistics or Quality is preferred, and you’ll need excellent English communication skills, with additional European languages such as German, French or Dutch being a plus. You’ll need to communicate effectively with cross-functional teams and external partners, and you should be comfortable prioritizing work to meet tight deadlines. Proficiency with Microsoft Excel is expected, and any experience in the consumer electronics sector, ERP systems or RMA portals is helpful. Familiarity with EPR rules for electronics, batteries and packaging is a bonus. If you use macOS, Google Workspace and Basecamp, that’s a plus as well.
Pay, benefits and practical details
The role offers a chance to contribute to Fairphone’s mission while working with an international and supportive team. Fairphone supports a diverse work environment and, in addition to the core holidays in the Netherlands, provides 25 paid holidays per year and a birthday day off, with more holidays earned with longer tenure. Daily lunch and organic FairChain coffee are available, and the company participates in a collective pension scheme. You’ll receive a MacBook, Fairbuds, and a Fairphone as working devices. A hybrid working model is in place, with remote-friendly options and a contribution of up to €250 toward your home office setup. There is a public transport allowance that fully covers your 2nd-class commute from home to the office, plus a bike allowance up to €300 for a new bike, an annual repair budget of up to €100, and reimbursement of 23 cents per kilometer for biking distances to and from the office or train station. Fairphone also encourages growth with development support, including €500 for learning and development, coaching (Inuka), workshops or courses, and access to Udemy with unlimited courses. There’s a kitchen with views of the IJ waterfront, a gym in the building, and subscriptions to mental and physical well-being services (Inuka and Urban Sports).
Advice for applicants
Lead your resume with your most relevant experience in operations, logistics or customer-facing roles, especially any work coordinating with 3PL partners or managing RMA processes. If you’ve dealt with spare parts data, BOMs, SKUs or price lists, show concrete examples and the impact you achieved, quantify improvements if you can.
Demonstrate how you’ve proven your must-have skills in past roles: cross-functional collaboration, tight deadline management, and data-driven process improvements. Mention specific tools or systems you’ve used for ERP, RMA portals, or trade compliance, and any metrics you tracked (like on-time dispatch rates or reductions in discrepancies).
Be ready to talk through real-world scenarios you’ve handled in outbound and inbound logistics, reverse logistics with repair centers, or EPR reporting. Expect questions about how you identify patterns in support data, prioritize issues, and communicate complex topics to partners.
Ask a targeted question to show you’re thinking about impact, such as how the RMA portal improvements are measured in user satisfaction and processing speed, or how the team collaborates with Sales and Finance on EPR submissions and country-specific requirements.
