E-7 Programs AUS Sustainment Project Administrator
BoeingBoeing Defence Australia is inviting a capable Project Administrator to join the E-7A Wedgetail sustainment program in Williamtown, New South Wales. The full-time role is onsite across two Williamtown facilities, including the RAAF Base Williamtown and a nearby Technology Place site. A day in the life on the E-7A program
You’ll provide broad administrative support to project teams, handling calendar management, arranging meetings and appointments, coordinating with stakeholders, and keeping records up to date so day-to-day operations run smoothly.
In addition, you’ll coordinate the procurement of catering, office supplies, vehicle leasing and other goods and services the project needs, making sure sourcing is timely, accurate and aligned with organisational purchasing rules.
You’ll also support people-focused activities, from acknowledging milestones to organising team events and ceremonies, and you’ll help manage onboarding and offboarding processes, including access requests, training tracking and documentation across the program.
Part of the job is maintaining project pages and sites, such as SharePoint and Confluence, with fresh content and orderly pages so information stays current for internal teams and stakeholders, including the customer and leadership groups. You’ll coordinate travel arrangements for both domestic and international trips, liaising with Boeing Travel and handling itineraries and bookings when needed, and you’ll help with events by organising venues, agendas and attendee welcome.
There’s a practical, hands-on element too: you’ll support facilities and venue needs, assist with room bookings and visitor access, arrange deliveries and supplies, and help with light duties that may involve moving between sites. You’ll operate as part of the E7 PIO Project Administration team, sharing workloads to deliver consistent service, and you’ll provide ad hoc support to Project Coordinators to help projects meet their milestones.
What you’ll need to bring
Must-haves
- A track record in project administration or project support roles
- The ability to work autonomously with limited direction
- Experience planning and coordinating events such as executive visits, offsites, planning days, milestone events and team training
- Capability to craft solutions for complex problems that align with organisational aims
- Experience creating and updating detailed organisational structures and operating cadences, plus PowerPoint decks for internal and external stakeholders
- Experience developing and updating processes, plans and policies to support project needs
- Experience reconciling corporate credit cards and handling invoicing in line with procedures
- Proven ability to arrange domestic travel and international travel, including flights, accommodation, vehicle rental and visas
- Procurement experience for office supplies, car leases and other project items
- Adaptability to changing project environments and tasks
- Australian citizenship is required to meet Defence security requirements
- Strong negotiation, communication, computer literacy and organisational skills
