XPENGXPENG is expanding its UK operations and is looking for an Office Management Manager to run the administrative backbone of large-scale workplaces. Working in the overseas business segment, you’ll take responsibility for guiding a regional administrative function that supports a headcount of 50 or more. You’ll lead a team, make budget decisions, and help translate headquarters’ administration into practical, scalable processes for the UK region. Day-to-day work that keeps the region moving
Your day-to-day will start with shaping the regional workplace operation strategy and pushing improvements to the office environment and employee experience. You’ll establish a regional 5S management system and set reusable standards, plan the annual activity calendar, and oversee regional cultural events, while also defining reception service standards and coordinating cross‑regional high‑profile visits. An essential part of the role is owning regional EHS compliance and developing robust emergency response frameworks.
On the financial front, you’ll lead the preparation and review of regional administrative budgets, approve regional expenses, monitor compliance risks and spot opportunities to save costs and boost efficiency. You’ll partner with headquarters to deliver regional cost optimization and oversee payments to regional vendors, aiming to optimise cash flow through smarter timing and terms. Asset management sits with you too, including establishing policy frameworks that keep asset records aligned with the physical inventory, approving major vehicle procurements and disposals, and ensuring regional assets stay in step with HQ policies.
Vendor management is a core piece of the job as well. You’ll participate in framework negotiations at the HQ level to optimise the regional supply chain, manage relationships with key regional suppliers, and develop a tiered approach to vendor management. You’ll also review proposals for onboarding and offboarding suppliers in the region. In addition, you’ll help drive the launch of new country-level workplaces, aligning with HQ resources to ensure standardised implementation, and support regional training and compliance execution while facilitating cross-regional knowledge sharing.
Other areas you’ll oversee include visa and expatriate assignment support, onboarding and offboarding administrative help, and driving the digital transformation of regional services. You’ll promote regional administrative platforms, consolidate system requirements, and work with HQ Administration to iterate platform functionality. You’ll also shape regional communications and IT infrastructure strategies to keep office networks and facilities reliably connected, while participating in the design of regional IT support solutions. Directly managing administrative teams, supervisors and specialists, will involve recruiting, performance management and talent development, along with keeping close alignment with headquarters to contribute to major decisions and the building of shared systems. Finally, you’ll help establish a regional talent pipeline to ensure a steady supply of administrative leadership for the region.
What you’ll bring to the table
- A bachelor’s degree or higher in Administration Management, Business Administration, Human Resources or related fields.
- Five to eight years of experience in administration, operation or related areas, with at least two years spent in people management.
- Experience in multinational environments or in cross‑cultural management is a plus.
- Fluency in English or the local language for high‑level business communication and negotiation.
- A valid local driving license.
