Reporting to the Chief Marketing Officer, you’ll provide high-level administrative support and act as a trusted partner to stakeholders across the business. You’ll help manage complex calendars, handle confidential information with discretion, and coordinate engagements with internal and international external customers. A day-to-day rhythm that keeps the business moving

You’ll deliver proactive executive support that covers diary management, email and correspondence handling, travel planning, and the orchestration of meetings. You’ll also prepare and review a range of business materials, reports, presentations, briefing papers, agendas, and minutes, to help leaders make informed decisions. Coordinating meetings, workshops, team events, and visitor logistics will be part of your remit, with a focus on seamless delivery and clear follow-up on action items.

Part of your job will be planning and coordinating the Hancock Iron Ore annual Technical Marketing conference in China, alongside building and maintaining strong relationships with internal teams and external stakeholders. You’ll manage confidential information with discretion while supporting governance and administrative routines, including action tracking, onboarding activities, roster coordination, and meeting deadlines. You’ll also handle procurement and financial tasks such as purchase orders, invoice processing, budget support, and related reporting, and you’ll help ensure safety and compliance are woven into daily activities. When needed, you’ll provide admin support to the Sales Operation and Shipping teams on a discretionary basis.

  • Proficiency in Mandarin and a solid grasp of Chinese culture
  • A track record delivering high-level executive support within a large, complex organisation
  • Exceptional organizational skills with strong time management and the ability to handle competing priorities while producing top-quality executive correspondence, reports, and presentations
  • Strong stakeholder engagement capabilities and the ability to build credibility across all levels of the business
  • Professionalism, discretion and sound judgment when dealing with confidential information
  • Advanced skills in the Microsoft Office Suite, especially Outlook, Word, Excel and PowerPoint
  • Experience with ERP, document management and business systems, with SAP experience being highly regarded
  • Previous exposure to mining, resources, construction or heavy industry environments
  • Certificate IV in Business Administration or an equivalent qualification
