Waipapa Taumata Rau | The University of Auckland is recruiting for an Accounts Payable Administrator to join the Shared Transaction Centre, the university’s central hub for procure-to-pay and order-to-cash activities. This team handles purchasing, billing and revenue collection for faculties and service divisions, keeping financial processing accurate and timely across the organisation. The role sits onsite in Auckland and is a good fit for someone who enjoys high-volume AP work, stakeholder interactions and steady service delivery in a collaborative environment.

Reporting to the Accounts Payable Team Leader, this position supports efficient financial processing and ongoing automation improvements. You’ll help streamline administrative tasks, improve efficiency, and lift service levels across the campus, while handling supplier relationships and day-to-day AP operations.

Day-to-day rhythm in the Shared Transaction Centre

On a typical day you’ll handle large supplier account reconciliations, process a high volume of invoices and ensure they align with purchase orders, resolving any match exceptions to keep payments flowing smoothly. You’ll also manage requisitions, receipting escalations and supplier maintenance, onboarding and setup as needed. Coordination of foreign and domestic pay runs takes you into collaboration with Treasury, signatories and the banks, ensuring timely, accurate payments.

Beyond processing, you’ll identify technical roadblocks and opportunities for improvement, supporting policy, control and compliance in every transaction. Travel, expenses and reimbursements come under your remit, and you’ll contribute to the weekly and monthly payment runs while handling ad hoc duties as they arise. Overall, you’ll steer the accounts payable function for your portion of the ledger with a focus on accuracy and service to internal and external customers.

Your essential toolkit

Essential capabilities the role expects you to bring include:

  • Background in Accounts Payable and Pay to Purchase within a big, complex organisation
  • A customer‑focused mindset with solid problem‑solving abilities
  • A clear commitment to policy, controls and compliance in every transaction

There aren’t additional nice‑to‑haves listed beyond these core capabilities.
