AD Ports Group is seeking a seasoned operations documentation professional to lead, coordinate and continuously improve port documentation workflows, ensuring accuracy, regulatory compliance and timely processing that underpins smooth terminal operations. You will prepare and validate container details, In and Out records, delivery orders, and other shipping line and customs documentation, maintain organized archives, supervise yard activities, generate regular performance reports, and support audits. The ideal candidate has at least five years in a ports environment, a solid grasp of government processes and international shipping regulations, strong stakeholder collaboration and mentoring abilities, and excellent MS Office skills. English is essential, Arabic is a plus; relevant certifications such as Ports and Maritime or IMDG are advantageous.
The Operations Documentation Executive ensures the accuracy, compliance, and timely processing of all operational documents, facilitating smooth and efficient Terminal operations.
Key Responsibilities:
Prepare, review, and manage all operational documentation, including container details, In & Out records, delivery orders, and other shipping line /customs related documentation.
Ensure the accuracy and completeness of all documents, adhering to relevant regulations and company policies.
Maintain organized and up-to-date records of all documentation.
Regular yard inspection and supervision of ground ops
Generate regular reports on operational activities, highlighting key metrics.
Ensure proper archiving and retrieval of documents as needed.
Assist in audits and inspections by providing necessary documentation and records.
Coordinate with various stakeholders, including shipping lines, transporters, and customers, to ensure timely and accurate documentation.
Communicate effectively with internal teams to ensure alignment and smooth operations.
Address and resolve any documentation-related issues or discrepancies promptly.
Comply with the requirements of the Abu Dhabi Ports health and safety Policies, Processes and Procedures
Promote a culture of safety awareness among staff and stakeholders
Educational and Technical Qualifications:
High School certificate / Diploma degree is a plus
Ports & Maritime Certificate or IMDG Certificate is a plus.
Language Skills:
English. Arabic is an added advantage
Years of Experience:
A minimum of 5 years of experience in a similar role
Nature of Experience:
Experience in Ports Industry
Excellent understanding of Government organization and processes
Familiar with international shipping/port regulations and conventions
Ability to understand strategic issues and hold an overall perspective of the organization.
Cultural sensitivity and adaptability.
Strong interpersonal skills and the ability to collaborate effectively with individuals at all levels of the organization.
Able to design and deliver different training programs, as well as to act as a coach and mentor to employees, whenever required.
Excellent computer skills including MS Office
