Warehouse & Service Support Coordinator
HillenbrandHillenbrand is hiring in Dandenong, Australia, for a Warehouse & Service Support Coordinator who will come on board onsite as a full-time team member. The role sits within Coperion, a Hillenbrand business unit that provides process technology for a wide range of industries around the world. Think plastics and plastics recycling, food and pet food, pharmaceuticals and cosmetics, chemicals, batteries and minerals. If you enjoy keeping stock moving, coordinating parts and tools, and helping field technicians stay equipped, this could be a great fit.
Based on site in Dandenong, the position blends warehouse operations with service logistics. You’ll move goods from arrival through storage, manage parts and equipment for service jobs, and line up local deliveries and job readiness so technicians can hit the ground running. It’s a practical role for someone who likes to see a process through from receipt to service delivery, with clear moments of impact across inventory, dispatch and site support.
If you’re the kind of person who thrives on structure, clear workflow, and helping others stay supplied on site, you’ll likely enjoy turning complex tasks into reliable routines in this role.
From goods receipt to service readiness
You’ll handle inbound deliveries by checking quantities and conditions against purchase orders and packing lists, report discrepancies right away to the buyer or supplier, and record everything in the ERP on the same day, recording lot, serial, or batch details when that information is relevant. After that, you’ll unpack, label, and place items in the correct storage locations, making sure heavy and oversized equipment is stored safely and accessibly.
The day-to-day also includes keeping stock levels accurate through regular counts and stocktakes, maintaining a clean and safe warehouse, and flagging slow-moving or minimum-level parts to support aftermarket and purchasing decisions. In addition, you’ll pick and process spare parts and equipment against sales orders, ensuring items, quantities, and part numbers are correct before packing for domestic shipments and for export-ready NZ freight when needed. You’ll prepare the necessary dispatch paperwork and arrange freight, comparing carriers and service levels to pick the right option for urgency and value, then share tracking information with the sales and service teams and customers, and chase up delays when they occur. Returns, warranty items, and credits will also flow back into stock under your watch, including items sent away for repair or calibration.
When it comes to local logistics, you’ll carry out deliveries and collections of parts, tools, and equipment to customer sites and suppliers, loading and securing loads with proper restraint and weight considerations. You’ll coordinate larger transport movements and craneage for capital equipment, coordinating with third-party carriers, and you’ll drop off tools and staged parts to technicians on site so service jobs can move forward without a hitch.
In service support and tool management, you’ll partner with the service department to prep and plan upcoming field and workshop jobs, staging the tools, spare parts, consumables and equipment in advance so technicians can mobilize quickly. You’ll confirm parts availability early and raise orders for anything missing, escalating long-lead items before they hold up a job. You’ll also prepare and issue job packs, drawings, service reports, calibration records and site paperwork, alongside the physical kit. You’ll own and maintain the service tools in one well-organized area, implement a sign-out/return system to track tools to technicians and jobs, inspect returned tools for cleanliness and function, remove damaged items from use until repaired or replaced, and maintain calibration and test-and-tag schedules with current records. Finally, you’ll oversee consumables and shop supplies, reordering to minimum levels and recommending new or replacement tooling as needed.
